The role:

We are looking for a reliable, independent, and hardworking executive assistant to join our growing team, by acting as a liaison between the executives and the employees and/or our external business partners. Specifically, they will be providing assistance to the CEO and Executive Vice President. 

 

Responsibilities:

  • Provide administrative support to the executive team such as photocopying, filing, answering telephone calls, responding to emails, etc.   
  • Preparing presentations, reports, and other documents as needed
  • Review and edit sensitive and highly confidential information
  • Represent executive team in meetings and take note of important discussions
  • Coordinate and manage executive schedules and travel arrangements
  • Make accommodations for company guests such as travel, hotels, etc. 
  • Organize and prepare for executive meetings, conferences, and lunches
  • Support/backup reception area when necessary
  • Welcome guests and customers, in person or by telephone, and attend to all inquiries
  • Maintain office supplies and place orders for new inventory as required
  • Keep track of and maintain food supply in executive kitchen 
  • Plan and execute company wide events
  • Send out company wide internal communications on behalf of the executives 
  • Complete and take part in other assigned tasks/projects as required 

 

Qualifications Required:

  • Bachelor's degree or College Diploma in Business Administration, Office Administration, or relevant field
  • 2-5 years experience as an executive assistant 
  • Deep understanding of business functions and operations 
  • Excellent knowledge of MS Office Applications (Excel, PowerPoint, Word, etc.)
  • Great communication and interpersonal abilities
  • Ability to secure, protect, and maintain confidential company or customer information
  • Detail oriented, highly organized, and ability to work under high pressure environments is a must
